Compress PDF for Gmail

For a personal Gmail account, Google allows up to 25 MB in total attachments for one message. That number is not a separate allowance for every PDF. If a draft contains a 12 MB PDF, an 8 MB photo archive, and a 7 MB spreadsheet, their combined size is already above 25 MB. Compressing only the PDF may solve the problem, but the final combined total still has to fit the draft.

Treat 25 MB as a ceiling, not a target you must reach exactly. File managers and Gmail may display rounded sizes differently, and an attachment gains transport overhead when email systems encode the message for delivery. A receiving provider can also apply a smaller maximum than Gmail. Leaving several megabytes of margin is more reliable than preparing a PDF that sits immediately below the published allowance.

A successful compression job does not guarantee that Gmail will accept or deliver the message. The PDF may remain above the selected target because it is already optimized, mostly text, or contains scans that cannot be reduced further without losing useful detail. Other attachments in the same draft may push the combined total over the limit even when the new PDF is below 25 MB. Always read the actual result size before returning to Gmail.

Delivery can also fail after Gmail accepts the draft. A Google Workspace administrator may apply organization-specific rules, and the recipient’s business, school, or government mail server may enforce a lower incoming message limit. Network interruptions can stop a large mobile upload as well. If Gmail still reports a size error, remove unrelated attachments, choose a lower custom target, and check the exact error instead of repeatedly using the same preset.

When a file is larger than Gmail’s normal attachment allowance, Gmail can upload it to Google Drive and place a sharing link in the message. This avoids fitting the PDF inside the email itself, but the recipient opens a Drive resource rather than receiving the document as a conventional attachment. Access depends on sharing permissions, and some companies restrict external Drive links or require files to arrive directly with the message.

Compression follows a different path. It creates a smaller PDF that you can download and attach normally, which is useful for invoices, applications, signed documents, and recipients who need an offline copy. The tradeoff is that aggressive reduction may lower image detail. Use a Drive link when the original quality must be preserved and link sharing is acceptable; compress when attachment delivery, compatibility, or a smaller local file is more important.

In Gmail on the web, you can compress the PDF in a browser, save the result to your Downloads folder, and attach that smaller file to a new draft. This workflow makes it easy to compare the PDF size with any photos or documents already attached.
